Your details, and what we do with them

We are a volunteer-run community association, not a business. We ask for as little as we can, we use it only to run our events, and we never sell it to anyone.

The short version

What we hold, and why

Contact details so we can reach you about an event, and a record of tickets bought so the right family is admitted at the door. A few trusted services help us take payments, send your ticket, and keep our records — and we tell you who they are below.

Who we are

SCV SaRiGaMa is a volunteer-run Malayalee community association in Santa Clarita, California, organised as a California nonprofit. In this policy, “we” and “us” mean the organisers who run our events. You can reach us any time at scvsarigama@gmail.com.

Visiting this website

You can read every page here without telling us who you are. We do not run advertising trackers, and we do not build profiles of visitors.

The company that hosts our website (Vercel) keeps standard server logs — the kind every website produces — which record requests and are used to keep the site online and secure.

The contact form

The form on our contact page does not send anything to us directly. It opens your own email app with the message pre-filled, so you send it yourself, from your own address. Nothing you type is stored on this website.

Once you email us, we keep that message the way anyone keeps email, and we reply to it.

Buying tickets for an event

When you buy tickets we record your name, your email address, your phone number if you give it, how many admissions you bought, and whether the payment cleared. That record is what lets us admit you at the door and email you your pass.

Card payments are handled entirely by our payment processor — Stripe or Square, depending on how you pay. Your card number goes straight to them and never reaches us; we could not see it if we wanted to. For payments sent by Zelle or handed over in person, we record only the amount and the name it came under.

We email you a pass with a QR code. That email is sent through an email delivery service (Resend) on our behalf, which needs your address in order to deliver it.

Signing up to perform

If you register to take part in the programme, we also keep what you enter on the form — your name, the names of others in your group, and the details of what you plan to perform — so the organisers can plan the stage and get back to you.

The services we rely on

We are a small group and use a few established services to run our events. Each one receives only the details it needs to do its job, and none of them may use your details for their own advertising:

  • Stripe and Square — process card payments for tickets and sponsorships.
  • Resend — delivers your ticket and receipt emails.
  • Neon — stores our event and ticket records (our database).
  • Vercel — hosts this website and our event check-in tools.
  • Google — we keep some organiser records (names, emails, ticket counts) in Google Sheets to run the event.

What we never do

We do not sell, rent, or trade your details. We do not pass them to sponsors, advertisers, or other organisations. We do not add you to unrelated mailing lists — if we email you, it is about an event you bought a ticket for.

How long we keep it

We keep your information for as long as we need it to run the event you took part in, to keep our accounts straight, and to meet our legal and tax obligations. Payment and donation records in particular are kept for the periods the law requires.

We are a volunteer group and do not delete records automatically. If you would like your information removed, write to us and we will remove what we are not required to keep.

Children

We do not knowingly collect details about children. Where a ticket covers a family, we record only the number of people attending — never names or ages of children.

Asking us about your details

Write to scvsarigama@gmail.com and ask what we hold about you, ask us to correct it, or ask us to remove it. We will do so, except where we are required to keep a payment or tax record.

California privacy laws (the CCPA and CPRA) are written for businesses and generally do not cover a nonprofit like ours. Even so, we honour these requests as a matter of course, because it is the right way to treat our community.

Keeping it safe

We take reasonable measures to protect the information we hold and limit who can see it to the organisers who need it. No system is perfect; if something ever goes wrong in a way that affects you, we will tell you.

Changes to this policy

If this policy changes we will update the date at the top of the page. We will not quietly start using your details for something you would not expect.

Event check-in

Why we log activity on event day

A Sadhya ticket is worth a seat and a meal, and a QR code can be forwarded, screenshotted and shared. To make sure every family gets what they paid for, our check-in system keeps a record of what happens to each pass.

What is recorded. When a pass is opened, scanned at the door, or changed by a volunteer, we log the time, the internet address it came from, the approximate location that address suggests — city level, no more — the type of device and browser, and which pass was involved. The same applies when a volunteer signs in to the check-in system or looks up a guest.

Why. It lets us see a pass being used twice, spot a code circulating beyond the family it was issued to, correct a ticket count that has gone wrong, and answer honestly if someone is turned away at the door and says they should not have been. Without it, a duplicated ticket is indistinguishable from an honest mistake.

Who sees it. Only the small group of organisers running the event. It is not used for marketing, it is not shared with sponsors or anyone else, and it is not used to work out where you live — an approximate location tells us whether a scan happened at the venue, and nothing more useful than that.

How long. These records are kept through the event and while any disputes are settled, and are held with the rest of our event data under the retention approach described above.
